EVENT PRODUCTION SUPERVISOR
Title: Event Production Supervisor
Reporting to: Event Operations Manager
Commitment: 30-40 hrs/wk

We are looking for an experienced Event Production Supervisor to organize and oversee the day-to-day production operations of the Event Production Team. You will be ultimately responsible for the smooth running of the requirements of corporate and cultural events here at Oakstop. We expect you to have deep know-how in production and/or event management procedures. The ability to direct personnel (ie. Oasktop’s Event Manager) toward maximum performance will set you apart as a leader. Decision-making and problem-solving will take up a great part of your day. If you are up to it, we’d like to talk to you. The goal is to ensure efficiency, attention to detail, and exceptional communication that meets client requirements and overall Oakstop standards/procedures.
The ideal candidate has experience working in either event planning, event management, or general team and personnel management positions. They will be comfortable meeting a broad range of people and being a proactive team player in a fast-paced, often stressful, environment. A personal relationship with Oakland is appreciated, as our work is deeply rooted in the community.
Responsibilities
● Liaise with the Oakstop Event Operations Team and Oakstop Senior Team Members to formulate tasks, procedures, training, and protocol to ensure the full of event requirements.
● Organize daily event production workflows to meet specifications and deadlines
● Monitor event production workflows to prevent and resolve issues
● Supervise and evaluate the performance of event production personnel
● Manage equipment inventories and determine the necessary resources for optimizing production workflows
● Submit reports for equipment and facilities repairs/maintenance
● Ensure that the event production team’s performance meets quality standards for clients
● Enforce health and safety precautions for production staff and event clients/guests
● Report team needs and operational concerns to upper management
● Performing hands-on event production tasks in accordance with standard protocols
Experience
● 2-4 years of proven experience working as an event manager/coordinator, production manager
● 2-4 years of proven experience managing teams and personel
● Deep knowledge of event production and management
● Understanding of quality standards for corporate events, cultural events, and personal events
● Knowledge of performance management and evaluation practices
● Understanding of a broad range of audio/visual equipment, inclusive of troubleshooting ability
● Proficient in Google Workspace, Asana, and knowledge of Tripleseat is a plus
● Outstanding written and verbal communication skills (with internal staff and external clients)
● Excellent organizational and leadership skills
● Superior critical thinking, attention to detail, and decision-making skills
Minimum Qualifications
● High School Diploma or equivalent required, bachelors degree or higher is a plus
● Must be able to work evenings, weekends, or even weekday business hours as needed
● Able to engage an existing personal or professional network around Oakstop’s offerings
● Must have friendly disposition and be comfortable interacting with customers of all kinds

EVENT SALES MANAGER

We are experiencing significant and rapid growth and seek an Event Sales Manager to facilitate our various event needs across multiple event venues. Working closely with our Director of Event Services, Bookings Team, the Event Sales Manager will play an integral role in the success of corporate and cultural events, assist with the preparation and execution of each event/meeting as requested by the client during each assigned shift while also providing stellar customer service. The Event Sales Manager will be responsible for managing a team of event sales staff to carry out a variety of sales and support functions. The Event Sales Manager will also need to be knowledgeable about Oakstop as a business & be able to promote our available services and spaces to other guests and clients during events.
The ideal candidate has experience working in either event planning, event management, or general customer service positions. They will be comfortable meeting a broad range of people and being a proactive team player in a fast-paced, often stressful, environment. Working closely with our Event Sales Manager, Bookings Team, the Event Sales Representative will play an integral role in the success of corporate and cultural events, assist with the preparation and execution of each event/meeting as requested by the client during each assigned shift, while also providing stellar customer service. The Event Sales Representative will field incoming leads, schedule bookings, communicate follow up activities to staff, and execute sales strategies to acquire new customers or clients. The Event Sales Representative will also need to be knowledgeable about Oakstop as a business & be able to promote our available services and spaces to other guests and clients during events.
The ideal candidate has experience working in either client relationship, event planning, event management, or general customer service positions. They will be comfortable meeting a broad range of people and being a proactive team player in a fast-paced, often stressful, environment. Responsibilities
● Provide superior customer service to our internal and external customers at all times, including telephone and email correspondence
● Allow guests access to the building via intercoms or direct greeting at the building entrance
● Manage Setup/Reset/Clean-up for each event/meeting per the confirmed Agreements
● Enthusiastically engage guests to answer any questions or concerns they may have
● Conduct walkthrough of event logistics and venue, including finishing touches and day-of planning
● Regularly check on guests in standard intervals to ensure their full comfort and satisfaction
● Quickly and quietly solve any logistical, technical, and/or resource issues that may occur
● Improve internal communication by documenting night/weekend activity for daytime staff
● Conduct meeting for all event staff and manage activities on day-of event
● Increase productivity and production quality of Oakstop events by anticipating client needs
● Ensure Event Agreement Terms and policies and procedures are being followed
● Monitor the building and rental space(s) to uphold Oakstop’s security and safety standards
● Conduct deposit refund assessments, noting condition, damages, overages after each event
● Create positive experiences that encourage customers to choose Oakstop for their next event

COMMUNITY MANAGER

We are experiencing significant and rapid growth and seek a Community Manager to support our progress through this time and beyond. Working closely with our Member Services Team, the Community Manager will play an integral role in the success of the shared space business model, contributing to the day to day activities within the coworking space and ensuring that the overall shared space environment remains functional and conducive to professional success. The Community Manager will also be responsible for reception functions and conducting tours of the space and facilitating sales of coworking memberships and meeting space.
The ideal candidate has experience working in coworking spaces, corporate offices, or customer service roles. They will be comfortable meeting a broad range of people on a daily basis and being an active contributor and team player in a fast-paced environment. A personal relationship with Oakland is appreciated, as our work is deeply rooted in the community.
Responsibilities
● Work closely with the Office Manager and Director of Member Services as a primary interface with current members, guests, and prospective clients
● Maintain a shared working environment that is warm, equitable and inclusive
● Facilitate office operations, including member/meeting support, office supplies, kitchen, etc
● Regularly contribute to the organization and maintenance of office resources for members
● Fulfill the reception function inclusive of answering phones, receiving guests, leading tours
● Provide excellent customer service to all members, meeting guests, and prospective clients
● Opening and/or closing the coworking space at the start and end of regular business hours
● Receiving and sorting mail for mail service members; providing notification of mail/packages
