OFFICE MANAGER

Title: Office Manager
Reporting to: Director of Member Services
Commitment: 40 hrs/wk

 

Oakstop is a social enterprise that uses commercial real estate as a platform for economic development and community empowerment by providing workspace, meeting/event space, and creative space for entrepreneurs, artists, and communities of color.

We are experiencing significant and rapid growth and seek an Office Manager to support our progress through this time and beyond. Working closely with our Director of Member Services, the Office Manager will play an integral role in the success of the shared space business model, overseeing all of the day to day activities within the coworking space and ensuring that the overall shared space environment remains functional and conducive to professional success. The Office Manager will also be responsible for managing a team of community managers to carry out a variety of support functions related to the day to day coworking operations.

The ideal candidate has experience managing coworking spaces, corporate offices, or open working environments. In addition, they will be comfortable as an outspoken leader among clients and staff, often regarded as the face of the coworking space. A personal relationship with Oakland is appreciated, as our work is deeply rooted in the community.

Responsibilities
● Work closely with the Director of Member Services as the lead for a designated Oakstop site
● Lead on maintaining a shared working environment that is warm, equitable and inclusive
● Manage all office operations, including member/meeting support, office supplies, kitchen, etc
● Build systems for effectively organizing and maintaining office resources for members
● Optimize the functionality of the front desk as the first point of contact for current/future clients
● Manage a team of community managers responsible for reception and customer service
● Develop authentic and meaningful relationships with Oakstop members to build community
● Ensure full coverage of the front desk and primary workspace areas during business hours
● Maintain constant awareness of all office supplies/resource with a mind for repairs/reordering

Minimum Qualifications
● Significant office management or facilities experience in a corporate/tech working environment
● Significant experience managing teams; training, supervising, and conducting team meetings
● Experience working across multiple professional industries (e.g. – nonprofit, corporate, arts)
● Fluency with several online environments, including G suite, Slack, Docusign and able to quickly learn and adapt to new technologies.
● Advance knowledge of Excel or Google Sheets in design of dynamic databases
● Able to leverage an existing extensive professional network of colleagues/organizations
● Excellent oral/written communication and customer service skills.
● Bachelor’s degree in related area and/or equivalent experience/training.
● Able to work occasional evening and weekend hours as needed
● Able to develop and maintain cooperative, effective working relationships with staff, Oakstop organizational members, and members of the general public from a wide variety of cultures and backgrounds.
● Solid organizational skills, initiative, and ability to multi-task with competing timeframes.
● Demonstrated impeccable attention to detail.

COMMUNITY MANAGER

Title: Community Manager
Reporting to: Office Manager
Commitment: 30-40 hrs/wk

 

Oakstop is a social enterprise that uses commercial real estate as a platform for economic development and community empowerment by providing workspace, meeting/event space, and creative space for entrepreneurs, artists, and communities of color.

We are experiencing significant and rapid growth and seek a Community Manager to support our progress through this time and beyond. Working closely with our Member Services Team, the Community Manager will play an integral role in the success of the shared space business model, contributing to the day to day activities within the coworking space and ensuring that the overall shared space environment remains functional and conducive to professional success. The Community Manager will also be responsible for reception functions and conducting tours of the space and facilitating sales of coworking memberships and meeting space.

The ideal candidate has experience working in coworking spaces, corporate offices, or customer service roles. They will be comfortable meeting a broad range of people on a daily basis and being an active contributor and team player in a fast-paced environment. A personal relationship with Oakland is appreciated, as our work is deeply rooted in the community.

Responsibilities
● Work closely with the Office Manager and Director of Member Services as a primary interface with current members, guests, and prospective clients
● Maintain a shared working environment that is warm, equitable and inclusive
● Facilitate office operations, including member/meeting support, office supplies, kitchen, etc
● Regularly contribute to the organization and maintenance of office resources for members
● Fulfill the reception function inclusive of answering phones, receiving guests, leading tours
● Provide excellent customer service to all members, meeting guests, and prospective clients
● Opening and/or closing the coworking space at the start and end of regular business hours
● Receiving and sorting mail for mail service members; providing notification of mail/packages
● Upholding a high functioning office inclusive of restocking supplies, making coffee, cleaning

Minimum Qualifications
● Office management, receptionist, or customer service experience in an office environment
● Outgoing personality; comfortable talking with a broad range of people throughout the day with a strong balance toward executing daily responsibilities and upholding professionalism.
● Experience with a diversity of professional/cultural backgrounds; a versatile people person
● Excellent communication skills; in-person, over the phone, and via formal emails
● Basic knowledge of G Suite, spreadsheets, and calendaring
● Ability to lift 50 pounds, walk at least a half mile between downtown Oakland locations
● Able to work occasional evening and weekend hours as needed
● Able to engage an existing personal or professional network around Oakstop’s offerings

EVENT SUPPORT STAFF

Title: Event Support Staff
Reporting to: Director of Event Services
Commitment: Part-Time / As-Needed

 

Oakstop is a social enterprise that uses commercial real estate as a platform for economic development and community empowerment by providing workspace, meeting/event space, and creative space for entrepreneurs, artists, and communities of color.

We are experiencing significant and rapid growth and seek an Event Support Staff to facilitate our various event needs across multiple event venues. Working closely with our Bookings Team, the Event Support Staff will play an integral role in the success of corporate and cultural events, assist with the preparation and execution of each event/meeting as requested by the client during each assigned shift while also providing stellar customer service. The Event Support Staff will also need to be knowledgeable about Oakstop as a business & be able to promote our available services and spaces to other guests and clients during events.

The ideal candidate has experience working in either event planning, event management, or general customer service positions. They will be comfortable meeting a broad range of people and being a proactive team player in a fast-paced, often stressful, environment. A personal relationship with Oakland is appreciated, as our work is deeply rooted in the community.

Responsibilities
● Provide superior customer service to our internal and external customers at all times
● Allow guests access to the building via intercoms or direct greeting at the building entrance
● Complete Setup/Reset/Clean-up for each event/meeting per the confirmed Agreements
● Enthusiastically engage guests to answer any questions or concerns they may have
● Regularly check on guests in standard intervals to ensure their full comfort and satisfaction
● Quickly and quietly solve any logistical, technical, and/or resource issues that may occur
● Improve internal communication by documenting night/weekend activity for daytime staff
● Increase productivity and production quality of Oakstop events by anticipating client needs
● Ensure Event Agreement Terms and policies and procedures are being followed
● Monitor the building and rental space(s) to uphold Oakstop’s security and safety standards
● Conduct deposit refund assessments, noting condition, damages, overages after each event
● Create positive experiences that encourage customers to choose Oakstop for their next event

Minimum Qualifications
● High School Diploma or equivalent required
● Must be able to work evenings, weekends, or even weekday business hours as needed
● Must have friendly disposition and be comfortable interacting with customers of all kinds
● Experience with conflict resolution strategies and an ability to diffuse client frustration
● Excellent communication skills; in-person, over the phone, and via formal emails
● Computer proficiency and an ability to navigate email, google docs, and calendaring platforms
● Ability to lift 50 pounds, walk at least a half mile between downtown Oakland locations
● Familiar with audio/visual equipment (projectors, audio mixers/cables, microphones) preferred
● Ability to work in a variety of environments including but not limited to heights, elevators, darkened corridors, around crowds, loud noise, flashing lights, etc.
